Facility Use Rules and Regulations


General:
Residents may reserve cabins and pavilions up to 365 days in advance. Non-residents may reserve up to 335 days in advance. Permit is valid only on date and time indicated. Permit is nontransferable and permit holder (applicant, renter) must be present at all times during use. The Town Code of the Town of Henrietta shall remain in force at all times.

Time:
Parks, cabins and pavilions officially close at 10:00pm daily with the exception of Martin Rd Park which closes at dusk. Cabin reservations may include any portion of the day between 10:30am and 10:00pm. You must be cleaned up and out of the park by 10:00pm.

Cabin key pick up must be done the day of your event at the Recreation Center, 605 Calkins Road. Please bring your $100 cleaning/key deposit, in the form of a check, to the key pickup.

Fee:
A fee as prescribed by the Town Board will be charged to any group or organization for use of the Park Cabins/Pavilions. In addition, a cleaning deposit is required at the time of key pick-up.

Cleaning Deposit:
A $100.00 cleaning deposit in the form of a CHECK applies to all cabins and Tyler Pavilion and is due upon key pick up. ** All garbage must be bagged and left INSIDE the cans. Any overflow (more than 5 bags, maximum of 50lbs each) of garbage must be taken with you.** Any damage to the facility or grounds will be the responsibility of the renter. Your deposit check will be mailed back to you upon returning of the key and only if the facility is left in its original condition inside and outside.

Security:
In all cases, the Town Code of Henrietta shall remain in force. The person whose signature appears on the facilities permit must be at least 21 years of age and be physically present during the time of key pickup. Any employee designated by the Town of Henrietta may spot check the activities being conducted within the Park facilities to ensure adherence to park ordinances and Town Board regulations. Permit holders must present the permit to any law enforcement officer or employee of the Town of Henrietta upon request.

Admission:
No admission fee may be charged for use or admittance to the facility except that which will be solicited for the express purpose of charitable causes. Furthermore, those soliciting shall be termed donations and will be disclosed fully to the Town Board after collection as proof of distribution to charity. A special permit from the Town Board will be required for charitable fundraising and must be requested at least 3 weeks prior to the reservation date. Facilities may not be used for sales or other profit making ventures unless approved by the Town.

Alcoholic Beverages:
Alcoholic Beverages are permitted if applicant requests alcohol use when applying for the rental permit or requests permission at least 72 hours prior to the event. Applicant assumes full responsibility for consumption control. Town of Henrietta assumes no consequential liabilities as a result of issuing this permit.

Smoking:
No smoking is allowed on any Town property per Town Code Chapter 227.

Pets:
No pets / animals are not permitted inside of the cabins.

Music:
Amplified live music and unusually loud recorded music are prohibited.

Tents:
No tents will be allowed in the Henrietta Town Parks, with the exception of 1 pop up tent no larger than 144 sq. ft. or 12'x12' that may be set up next to a rented cabin or shelter for the hours indicated on the rental agreement.

Amusement or Entertainment:
The Town does not provide external electric use outside of the cabins or pavilions. Any entertainment or activities as allowed in the rental contract must be able to provide their own electric source and follow Town policies.
  • Insurance: A certificate of insurance for 3 million dollars naming the Town of Henrietta the secondary insured is mandatory for any amusement company that is providing a service for your event. There are no bounce houses permitted in any of our parks.

Refunds:
Refunds must be requested at least two weeks prior to the date reserved or no refund will be given. Refunds will be given as account credit, to be used towards upcoming programming or rentals with the Parks and Recreation Department, or by check. There is a $10 processing fee for check refunds. Credit Card transactions cannot be reimbursed back to cardholder.

Liability:
The Town reserves the right to require organizations to present proof of insurance prior to use.

Town Code Compliance:
